✨ THEATER MANAGER
Live theater changes a community. It draws neighbors out of their living rooms and into shared rooms full of laughter, surprise, applause, and the occasional tear - and at Green Bay Community Theater, that magic has been growing for decades. We are a nonprofit built by talented community members who believe a great night out at the Robert Lee Brault Playhouse can entertain, enrich, and connect the city we love. Now we are searching for the next Theater Manager - the welcoming face every patron meets, the steady partner every director leans on, and the creative force who helps decide what stories Green Bay gets to experience next.
This is a role built for someone with passion and vision. You will assist directors and designers from the first read-through to closing night, helping the committee that selects the plays our community gets to experience, recruit and rally an army of volunteers, support the development team with donors and grantors, and assist with the marketing that fills our seats. The schedule is purposefully flexible, approximately two-thirds time, with the natural ebb and flow of tech weeks and performance evenings woven in so you can pour yourself into the work that matters without giving up the rest of your life. RESPONSIBILITIES and SCOPE OF WORK
The Theater Manager is the face of the theater to the community.
General Operations:
Oversee Box Office and Ticket Sales
Oversee the upkeep of the theater building (inside and outside), general maintenance, landscaping, cleaning, and special projects. Staffing and contracting as necessary.
Purchase all supplies for theater upkeep and concessions.
Create and maintain positive relationships with customers, donors, theater personnel, and volunteers.
Meet with Director to organize and review production calendar, and assess production needs (i.e. set design, crew, etc).
Attend pre-production meeting, introducing Theater Manager, Production Coordinator, Stage Manager, and Director to designers and crew, and establishing responsibilities of each for production.
Assists Production Coordinator in recruiting crew and volunteers as needed for a successful production.
Schedule with Production Coordinator, Stage Manager, and Director, first cast meeting, and facilitate first cast meeting that includes cast introductions, tour of space, safety discussion, and actor agreements.
Schedule and attend mid-production meeting with Director, Production Coordinator, Stage manager, and crew.
Provide survey feedback from productions to the Board, Director and crew (as needed). Facilitate post-production meeting.
Suggest to Board and/or committee heads ideas for solving concerns or implementing new ideas.
Financial Administration:
Monthly reporting to Board Treasurer of all credit card receipts.
Uploading invoices for payments to google drive as Treasurer pays all bills
Entering donations into ticketing/donor management system
Entering check/cash payments into ticketing system
Facilitate rental agreements with outside parties using standard agreement form. Ensure they have access and walkthrough after event to ensure all requirements are met (e.g cleaning etc).
Coordinate with Treasurer to have renter provide insurance coverage prior to event.
Liaise with the Board of Directors:
Attend all Board Meetings and present Theater Management report.
Provide Theater Management report at least 3 days prior to meeting to all Board members, including summary of production and any questions/concerns.
Play Selection Committee:
Assists Play Selection committee with purchasing of scripts to read
Once plays have been selected for the season, prepare summary for Treasurer to obtain rights and scripts.
Community Involvement:
Recruit and develop volunteer base
Maintain a working knowledge of significant developments and trends in theater production, especially at a community level.
Awareness of other community events that may impact production schedules to avoid overlapping weekends.
Marketing Committee:
Assist with paid and volunteer creative talents to manage GBCT digital footprint across website and social platforms, including, but not limited to content creation and graphic design.
Work with Treasurer to ensure funds are available in bulk permit for bulk mailings.
Provide pricing and benefits to Marketing Committee to sell advertising and sponsorships.
Development Committee:
Assist in searching for grants/funding opportunities, corporate sponsorships, and general donor management.
Provide support as needed for raffle items.
Maintain list of Donors through the donor management system.
QUALIFICATIONS
Required:
Knowledge of Microsoft Office or Google Workspace
Proven organizational and time management skills
High attention to detail
Exceptional written, oral, and interpersonal communication skills
Ability to work with varying levels of volunteers, contract employees, board members, and staff
Experience in customer service
Ability to maintain a high degree of professionalism and confidentiality
Valid driver’s license with verification of appropriate insurance coverage
Preferred:
Knowledge in VBO ticketing software or similar.
Strong organizational and analytical skills.
Ability to positively motivate and develop volunteers.
Ability to work independently, effectively analyze and solve issues, and exercise good judgment in making a variety of decisions.
Comfortable managing the entire life of a production. Works with the production coordinator and director, ensuring the work stays on track from the early ideas through closing night.
Able to manage the ‘ebb and flow’ of a season, knowing when to push and how to keep all productions on schedule.
Arts Management, Stage Management, Project Management, or Non-profit Management education or experience preferred.

OTHER JOB DETAILS
Status: Exempt
Hours:
August 1 – May 31: 24 hours per week. Hours may vary. Must be flexible with nights and weekends. Opportunity for hybrid work.
Production tech week: Attend rehearsals as needed
Performances: Open box office 1.5 hours prior to performance time and close after performance
Theater Manager is a 2/3 FTE position.
Wages & Benefits:
$22/hour
Opportunity to attend AACT and related events.
11 Paid holidays (8 hours per holiday):
Day before Thanksgiving, Thanksgiving, and day after Thanksgiving
Christmas Eve and Christmas Day
New Year's Eve and New Year’s Day
MLK Day
Memorial Day
Fourth of July

Environment:
Typical inside, air-conditioned office environment
Typical theater environment, recently renovated building with limited accessibility
